JOB SUMMARY Reporting to the Manager, the Accounting Assistant is responsible for providing efficient and effective support to the Accountant through the use of sound finance and accounting practices, ultimately contributing to the strategic goals of the unit. KEY DUTIES • Maintain security and confidentiality of sensitive information in accordance with organizational policy.
• Ensure that valuables and other assets are properly stored and secured in accordance with prescribed guidelines. • Support the day-to-day operational activities of the assigned business units within the Finance and Accounting Unit. • Manage customer and vendor relationships for the efficient handling of payments, requests and queries.
• Prepare payments to suppliers, consultants, service providers, contractors and grants promptly and in accordance with prescribed guidelines. • Manage bank lodgments promptly and securely, ensuring that these are supported by appropriate documentation where necessary. • Generate and dispatch customer invoices and take appropriate follow up action for collection of receipts.
• Prepare bank, credit card, general ledger and supplier account reconciliations in a timely manner. • Record expenses and revenue receipts into the accounting software in a timely manner. • Prepare travel advances and review retirements as per travel policy. • Assist with the preparation of quarterly reports to business units. • Support the Accountants in meeting external and internal audit requirements.
• Prepare and dispatch payroll and related submissions for the Organisation as may be required. • Maintain the physical and electronic filing of records of all relevant financial information. • Partner with the Portfolio Management Office to lead the successful delivery of projects. • Contribute to the formulation and execution of the unit’s work plan. • Assist with any other related duties assigned by the Manager.
EXPERIENCE & KNOWLEDGE • ACCA level 1 or equivalent professional qualification • At least three (3) years experience as an accounting assistant within a medium to large scale organisation • Excellent communication skills • Strong organizational, analytical and problem-solving skills • Ability to follow instructions and manage time effectively • Ability to prioritise competing assignments • Intermediate use of office management tools (including spreadsheet application) and accounting software • Sound decision-making skills CORE COMPETENCIES • Drive with Purpose and Vision • Create an Environment of Trust • Build Effective Teams • Ensure Accountability • Demonstrate Decision Quality • Communicate Effectively TERMS OF APPOINTMENT The OECS Commission is headquartered in Castries, Saint Lucia.
The position of Accounting Assistant is open to nationals of the OECS Member States and is stationed at the headquarters. The position is on fixed-term establishment subject to satisfactory annual reviews. Salary will be commensurate with qualifications and experience and exempt from income taxes.
The incumbent will be eligible for membership in the Organisation’s non-contributory Group Health and Life Insurance Scheme. The deadline for applications is Friday 11th March 2022.
