Scope overview
The Work to be done under the Contract shall consist of Provision of Software to Automate the Paid Duty (Special Duty) Staffing Process from the date of award until Dec 31, 2022, with the option of three(3) mutually agreed upon one (1) year extensions. D4.2.1 The City may negotiate the extension option with the Proponent within ninety (90) Calendar Days prior to the expiry date of the Contract.
The City shall incur no liability to the Proponent as a result of such negotiations. D4.2.2 Changes resulting from such negotiations shall become effective on the anniversary of the respective year after such agreement. Changes to the Contract shall not be implemented by the Contractor without written approval by the Contract Administrator .
D4.3 The major components of the Work are as follows: (a) Onboarding and deployment (b) Subscription and support (c) Professional services (i) Design & specification/requirements gathering and documentation (ii) Installation of hardware (if applicable) (iii) Testing and Go-Live (iv) Project Management (d) Software (i) Licensing (including any third-party software licenses) (ii) Hosting (iii) Transaction fee (iv) App’s (e) Any related hardware (f) Training for approximately 5 back-office users (configuration & administration) and end user training (if applicable).
D4.3.1 Hosting-The type and quantity of Work to be performed under this Contract shall be as authorized from time to time by the Contract Administrator and/or Users. D4.3.1 Subject to C7, the City shall have no obligation under the Contract to purchase any quantity of any item in excess of its actual operational requirements.
D4.3 Notwithstanding D4.1, the type and quantity of Work to be performed under this Contract is subject to annual approval of monies therefore in a budget by Council. Proponents are advised that monies have been approved for work up to and including December 31, 2020.
D4.4 Notwithstanding D4.1, in the event that operational changes result in substantial changes to the requirements for Work, the City reserves the right to alter the type or quantity of work performed under this Contract, or to terminate the Contract, upon thirty (30) Calendar Days written notice by the Contract Administrator.
In such an event, no claim may be made for damages on the ground of loss of anticipated profit on Work. D4.5 The pre-bid estimate for this Contract is 60,000.00
