Reference: ILO/RE Project/ Design and produce 160 USB hubs I. Background and purpose The ILO’s Responsible Electronics Project is conducting a series of dialogues aimed at fostering discussion over responsible business conduct at multiple levels.
To bring attention to the topic and to enhance the visibility of the project, the ILO seeks to produce promotional items that communicate the objectives and impact of these initiatives.
The product in this TOR will be used for events with sector-specific constituents rather than broader audience, such as the launch of a factory-benefitting advisory programme (tentatively 50 participants), sectoral dialogues (tentatively 50 participants) and the sectoral forum (tentatively 60 participants) scheduled for the year. II.
Scope of work and detail tasks: In coordination and consultation with the ILO’s National Project Coordinator of the Project, the selected service provider will be responsible for the design, production, packaging and delivery of an item that reflect the themes specified by the Project, specifically: Designing - Developing two creative concepts for the chosen item, incorporating the ILO's and the project's branding kit.
These concepts will be exchanged with the Project team, and one final option will be determined for production. Production - Manufacturing high-quality promotional items based on approved designs. Packaging and Delivery – Developing, in discussion with the Project team, a maquette for the cases/cover boxes which incorporates the themes and messages (maximum 12 words) as appropriate.
This will entail delivering the final products as well to the ILO Office in Ha Noi by the specified deadline. Required tasks: Design and produce 160 USB Multi-port Hubs with packaging boxes.
The hub should comprise a mix of three dedicated USB-A 3.0 ports for data transfer at a speed of up to 5Gbps and compatible with multiple devices (USB flash drives, external hard drives, keyboard, mouse, printer, and other USB devices), an HDMI Port for video output of up to 4K @ 60Hz, an USB-C Power Delivery (PD) port to support charging of up to 100W, and a slot for TF/SD card reading (at USB 3.0).
Each item shall carry visuals related to Responsible Electronics theme. The service provider is required to refer to the ILO branding guide (Brand Hub - Guidelines) and ensure that the publication strictly follows all the branding specifications of the ILO. III.
Expected deliverables and timelines : Output: 160 USB hubs with packaging boxes produced by proper standards and delivered in good condition and of quality for readiness to use. The contract will commence on 16 March 2026 and be completed by 18 April 2026. The deliverables shall be delivered to the ILO Office in Hanoi on/before 18 April 2026. Delivery point: GOUNH, 304 Kim Ma, Ngoc Ha ward, Hanoi IV.
Payment terms: The payment up to 100% of the contract value shall be made in a single payment upon completion of the required tasks and submission of relevant outputs, a delivery notes and an invoice to the satisfaction of the ILO. V. Application Interested service providers are encouraged to send their applications to conduct the assignment.
Application packages, preferred in the English language, should include: A quotation with details on expected qualification of the promotional product, unit price, total costs and relevant taxes.
